Information Collection & Use

Registration

In order to use some areas of SwapNeat Inc. Website properties, you must first create a user name ("SwapNeat ID") and password. During registration you are required to provide an email address. We use this information to contact you about the services on our site in which you have expressed interest.

SwapNeat Inc. is the sole user of the information collected on swapneat.com and swapneat.net. SwapNeat Inc. collects personally identifiable information from our users at several different points on our Web site.

Orders

If you purchase a product or service from us, we request certain personally identifiable information from you on our order form. You must provide contact information, including name, SwapNeat Product Reference Code, and email address. The financial transaction processing service is provided by PayPal, a unit of eBay Inc.

Social Security Numbers

SwapNeat Inc. will never ask for your social security / social insurance number.

Surveys or Contests

From time-to-time we may provide you the opportunity to participate in contests or surveys on our site. If you participate, we will request certain personally identifiable information from you. Participation in these surveys or contests is completely voluntary and you therefore have a choice whether or not to disclose this information. The requested information typically includes contact information (such as name and shipping address), and demographic information (such as postal code).

We use this information to notify contest winners and award prizes, to monitor site traffic or personalize the site, to send participants an email newsletter, and perform offline follow-up communication.

We may use a third party service provider to conduct these surveys or contests; that company will be prohibited from using our users’ personally identifiable information for any other purpose. We will not share the personally identifiable information you provide through a contest or survey with other third parties unless we give you prior notice and choice.

Tell-A-Friend

If you choose to use our referral service to tell a friend about our site, we will ask you for your friend’s name and email address. We will automatically send your friend a one-time email inviting him or her to visit the site. SwapNeat Inc. does not store this information. It is used for the sole purpose of sending this one-time email.

We will store an anonymous reference code that identifies you as the sender of an invitation. Should your friend respond to the invitation, we will associate the acceptance of that invitation with your account.

At the time the invitation is created by you, you have the option of allowing your friend, upon acceptance of the invitation, access to certain personal information as selected by you on the Tell-A-Friend form.

Invitations are non-transferrable and have no expiry date; that is, the friend can accept the invitation at any time in the future and the acceptance of that invitation will be recorded as described above.

Special Offers and Updates

We will occasionally send you information on products, services, promotions, special offers. SwapNeat Inc. provides methods for individual users to opt-in to specific types of communication. Newsletters

Service-related Announcements

We will send you strictly Website service-related announcements on rare occasions when it is necessary to do so. For instance, if our service is temporarily suspended for maintenance, we might send you an email.

Generally, service-related announcements are opt-out. That is, when you create your SwapNeat ID, you will by default receive such service-related emails. SwapNeat Inc. recommends that you do not opt-out of these communications, which are not promotional in nature, but, like all other communications, you may opt-out of these communications. Customer Service

Based upon the personally identifiable information you provide us, we will send you a welcoming email to verify your username and password. We will also communicate with you in response to your inquiries, to provide the services you request, and to manage your account. We will communicate with you by email or telephone, in accordance with your wishes.

In cases of user-initiated customer service requests, we will track and store all communication related to that service request for management of the request, and future customer service systems and operational analysis.

Profile

We store information that we collect through cookies, log files, and databases, to create a “profile” of your preferences. We tie some personally identifiable information, and your purchasing history, to information in the profile, in order to provide tailored promotions and marketing offers and to improve the content of the site for you.

We do not share your profile with other third parties.

Enhancement of Profile Information

We may acquire marketing data from third parties and add it to our existing user database, to better target our advertising and to provide pertinent offers in which we think you would be interested.

Specifically, where SwapNeat Inc. participates in a conference or event which you attend, and should you provide personally identifable information to the management of that conference or event, that information may in turn be provided by the event management to SwapNeat Inc., which will in turn be associated with your personal profile as part of our ongoing customer relationship management initiatives.

Additionally, any personally identifiable information provided directly to SwapNeat Inc. at such an event will be associated with your profile where possible.

IP Address Geolocation

SwapNeat Inc. is required by Canadian law to charge federal sales tax to all purchases made in Canada, and provincial sales tax as applicable to residents of the various provinces and territories of Canada. We use [THIRD PARTY SOFTWARE] to verify your geolocation for the purpose of determining applicable sales taxes. We store the geolocation information (not the IP address) in the form of [COUNTRY] and [STATE / PROVINCE / REGION] with your profile.

Agents

We use PayPal Inc., an eBay company, to bill you for goods and services. PayPal has its own privacy policy available at http://www.paypal.com/cgi-bin/webscr?cmd=p/gen/ua/policy_privacy-outside.

Clicking on the “Buy Now” button sends a code to PayPal identifying the product number and the amount to be paid. Upon successful completion of the transaction, PayPal sends SwapNeat a packet that includes the product code, transaction reference, and amount paid. SwapNeat then associates the transaction reference with your licensing information and modifies it.

PayPal can not tie the successful purchase to a particular item. SwapNeat Inc. is never in receipt of credit card numbers or other personal information directly related to the financial transaction, other than the success or failure of the payment transaction.

Legal Disclaimer

We reserve the right to disclose your personally identifiable information as required by law and when we believe that disclosure is necessary to protect our rights and/or to comply with a judicial proceeding, court order, or legal process served on our Web site.

Choice/Opt-out

SwapNeat Inc. makes all uses of personally identifiable information opt-in choices, where a choice is available. We provide you the opportunity to ‘opt-out’ of having your personally identifiable information used for certain purposes when we ask for this information. For example, if you purchase a product/service but do not wish to receive any additional marketing material from us, you simply do not indicate a desire to receive such information.

If you no longer wish to receive our newsletter and promotional communications which you have previously chosen to opt-in to receive, you may opt-out of receiving them by following the instructions included in each newsletter or communication, by accessing your user profile page at https://www.swapneat.net/forum/profile.php.

Log Files

As is true of most Web sites, we gather certain information automatically and store it in log files. This information includes internet protocol (IP) addresses, browser type, internet service provider (ISP), referring pages, operating system, date/time stamp of request, and clickstream data (form field names and values that are part of the http request “location”.

We use this information, which does not identify individual users, to analyze trends, to administer the site, to track users’ movements around the site and to gather demographic information about our user base as a whole.

We do not link this automatically-collected data to personally identifiable information. IP addresses are used during a purchase transaction for geolocation purposes as described above. The determined geolocation is stored with the user profile, but the specific IP address is not stored with the user profile.

A cookie is Website-specific information that is stored on a user‘s computer for record-keeping purposes. We use cookies on this site. We do not link the information stored in cookies to any personally identifiable information you submit while on our site.

We set a persistent cookie to store your SwapNeat ID and password, should you opt-in by checking the “Remember Me” checkbox on various areas that require a SwapNeat ID and password to gain access. This is an optional convenience so you don‘t have to enter it on subsequent visits. We do not retain information regarding the fact that you have opted in to set a cookie for this purpose. Persistent cookies also enable us to track and target the interests of our users to enhance the experience on our site.

If you reject cookies altogether, you may still use our site. Data that would be stored in cookies will instead form part of the https:// request URL. Your ability to use some areas of our site, such as contests or surveys, will be limited.

HTML Email Logging

By way of remote images accessed when email messages are viewed, SwapNeat Inc. is able to track that a specific user has viewed an email message, should that user enable viewing of remote images in their email client. This information is used to measure of success of a specific communication with customers who have opted-in to receive such communications.

You can opt-out of receiving such communications altogether, but our emails are designed such that if you have disabled display of remote images in your email client, you can read the contents of the email. Only if you choose to display the images is such personally identifable information recorded.

Third Party Advertisers

SwapNeat Inc. does not engage third-party advertising services.

SwapNeat Inc. may deliver advertising on behalf of partners to our customers, but those advertisements are delivered directly by SwapNeat Inc. and no personally identifiable information is transmitted to partners either via the internet or other means.

Non-personally identifiable information

Should the user click the advertisement which links to a non-SwapNeat Inc. owned Website property, standard Website access logging techniques allow the partner Website to record non-personally identifiable information: specifically, the partner Website can record that the user clicked a link from a specific page on a SwapNeat Inc. owned Website property. No additional personally-identifiable or non-personally-identifiable information will be transmitted to the partner Website. Upon arrival at the partner Website, the onus is on the partner Website to engage the visitor and establish a direct relationship with that individual.
